THE OPPORTUNITY:

The Orders Coordinator is a pivotal position in the Distribution Center (DC), responsible for preparing all the documentation the warehouse and inventory department needs to complete orders by using Microsoft Office products, internal Zephyr computer systems, EDI systems and customer websites. This person works very closely with DC management for daily tasks and priority of work while also communicating with other internal Zephyr personnel.

Schedule: Monday-Friday (no weekends), 7am- 3:30 pm


A Typical Day (job functions) | WOW Our Customers through your organization + prioritization

  • Check the computer system for any available stock/web orders to be prepped multiple times a day; usually done at the beginning of the shift and periodically throughout the day
  • Prepare all paperwork for stock and import orders to be picked and shipped
  • Obtain the daily “special shipping” lists from account managers and making sure that all orders found on that list are shipped accordingly, along with communicating any issues and troubleshooting details
  • Ensure that all orders follow the correct steps through the Zephyr internal and external customer websites and systems
  • Interact with DC management and sales rep in a professional, upbeat manner with clear communication; assessing daily priorities
  • Research any and all problem orders along with deciphering special instructions
  • Process check every week for open orders pending
  • Generate/update over credit report weekly with necessary action and communications
  • E-mail order questions and requests
  • Enter key metrics and reporting data into systems and excel
  • Invoice all orders on a daily basis using computer program
  • Assist with physical work for warehouse activities which may include: picking, cycle counts, adjustments, transfers, research
  • Act as compliance (HighPostProduction) contact person, which includes:
    • Read and decipher customer manuals for requirements and shipping instructions
    • Communicate new customer shipping requirement to management
    • Create/revise customer instructions sheet that goes with orders
    • Data entry of UPC tagging information
    • Working in the EDI website/systems to create and send documents
    • Print out/create carton labels via Bartender/barcode system
    • Report customer chargebacks along with implementing preventative measures
  • Additional duties, as assigned

  • High school degree preferred
  • Excellent organization with ability to adapt to changing priorities
  • Experience with MS office products (Excel, Word, Access, Outlook)
  • Strong organization and computer skills
  • Strong problem solving skills and clear communications
  • Attention to detail on written documents
  • Ability to work in a fast paced, detail oriented environment while upholding quality and accuracy
  • Multitasking is essential, with flexibility to change tasks as needed- ie: PIVOT
  • Willingness to work in open warehouse environment
  • Must be able to lead or participate in group work
  • Excellent written and verbal communication skills
  • Self-directed & take initiative daily on work to be completed and follow-up of open items
  • Personable interaction with warehouse co-workers
  • Basic knowledge of warehouse, shipping and distribution center activities preferred, but not required

Dress Code:
Rubber-soled shoes, casual dress. No tank tops or sleeveless shirts. No holes in clothing or offensive wording.
