The Role

The successful Patient Experience Representative for the front desk will contribute to the fulfillment of Panorama Eyecare’s mission statement by providing clerical support to the ASC. This position serves many different functions. The primary areas of responsibility are 1) patient admission for surgical procedures and laser procedures 2) chart preparation for the ASC 3) coordinating operating room schedules. This position requires excellent organizational and interpersonal skills.

  • Patient Care: Able to work collaboratively with all members of the health care team in the ASC to provide optimal care to the patient, throughout their surgical experience.
  • Customer Service: Able to provide a high level of customer service to patients, visitors, physicians, and staff in a professional, service-oriented, respectful manner using skills in active listening and problem solving. Ability to remain calm in stressful situations.
  • Work Efficiency: Able to multi-task in a fast paced ASC. Ability to think quickly, problem solve, and work on delegated tasks independently. Able to maintain and upgrade office proficiency in all office techniques.
  • Team Work: Able to work collaboratively with all members of the health care team in the ASC to improve the operations of the immediate work group by offering ideas, identifying issues, and respecting team members.

Patient Admissions-

  • Greets patients, family members, and visitors promptly and courteously upon arrival.
  • Completes check-in process for procedures including, but not limited to, surgical procedures, laser treatments, and all types of appointments. Direct patient to proper waiting area. Handles confidential information appropriately and explains policies and procedures when necessary, within scope of knowledge and authority.
  • Confirm patient information as necessary and provide patients with paperwork and consents needed to complete chart for procedure, verifying chart is complete and in order, including all signatures, paperwork, and forms necessary prior to patient admission to the ASC.
  • Collects payments as necessary indicating as such in computer and prepares copies/receipts for patient and medical records.
  • Keeps patients and family, friends, or caregivers well informed throughout patient’s progress at the ASC.
  • Receives phone calls and takes accurate messages or directs calls to the appropriate person/department in a timely manner.
  • Check messages frequently and communicate as needed with the appropriate person/department.

Chart Preparation for ASC and Medical Records-

  • Completes task schedule for preparing all surgery charts for the ASC, prior to patient admission, including verifying surgical plan with consents and computer, then affixing surgery labels to chart in preparation for upcoming procedure. Collaborating with pre-op team and/or surgery schedulers to correct any discrepancies prior to patient’s arrival and confirmation of the OR schedule.
  • Assists Health Information Management Coordinator to maintain patient files in an organized system, filing all patient charts promptly; routinely thinning charts to store (patients who have had cataract surgery on both eyes and charts over one year old) at appropriate time.
  • Retrieve / Scan charts as needed ; Precision, Prospect and Storage Unit

Coordinating Operating Room (OR) Schedules-

  • Works collaboratively with Surgery Director, Pre/PACU Supervisor, OR Supervisor and/or Front Desk Lead to coordinate OR schedules for the next day’s procedures.
  • Reorganizes OR schedules accordingly under supervision of Surgery Director and OR Supervisor.
  • Prints and distributes confirmed schedules to nurses, both ORs, and faxes confirmation to anesthesia.
  • Completes accurate label list of all surgeries performed for the day and distributes appropriately to Surgery Director, insurance, current surgery dictation contact, and physicians.


Who You Are

  • Minimum requirements include a high school diploma or equivalent with two years of work experience Basic office skills and computer skills are necessary
  • Knowledge of medical office procedures and terminology is desirable
  • This position requires exceptional interpersonal skills as well as strong communication skills, in person, over the phone and through email
  • Must maintain a current BLS certification. Must obtain within 3 months of hire.
